Portfolio Facilities Director

Starting Salary: $120,000+ (commensurate with experience)

Position Summary

Woodard Properties is seeking a strategic, technically skilled Facilities Portfolio Director to lead the full lifecycle of maintenance, operations, capital planning, and physical asset management across our diverse Charlottesville portfolio. This role requires a leader with deep, hands‑on knowledge of building systems—including HVAC, electrical, plumbing, and life‑safety infrastructure—paired with a proven track record of developing high‑performing teams and elevating facilities operations at scale.

Our residential, commercial, and development properties span the Charlottesville community. The Facilities Portfolio Director ensures every asset is safe, efficient, compliant, and maintained to the highest standards of quality and performance. This position oversees the Maintenance, Project, and Building & Grounds Teams—approximately 25 professionals—supported by a Facilities Manager, Facilities Coordinator, and field Supervisors. The Director also manages vendor relationships, oversees operating and capital budgets, and drives preventive maintenance programs that protect long‑term asset value.

Key Responsibilities

Operations & Maintenance

  • Oversee preventive, predictive, and corrective maintenance programs across all properties.
  • Apply hands‑on technical expertise to diagnose, troubleshoot, and guide the resolution of building system issues ranging from routine equipment and appliance malfunctions to highly complex, integrated systems such as HVAC controls, life‑safety systems, and fire protection infrastructure.
  • Ensure compliance with all local, state, and federal safety regulations.
  • Maintain emergency preparedness and response procedures.
  • Implement systems to track work orders, asset life cycles, and maintenance schedules.
  • Communicate effectively with leadership, team members, vendors, residents, tenants, and community partners.

Leadership & Strategy

  • Provide vision, direction, and mentorship to managers, supervisors, technicians, and support staff.
  • Build a culture of accountability, continuous improvement, and technical excellence.
  • Establish performance metrics and operational standards across the portfolio.
  • Partner with Property Management and Executive Leadership on capital planning and strategic initiatives.

Capital Projects & Asset Management

  • Lead capital improvement planning, budgeting, and execution.
  • Coordinate with contractors, engineers, and vendors to ensure timely, on‑budget project delivery.
  • Conduct regular property inspections and building system condition assessments.
  • Provide long‑term capital forecasting and replacement planning.

Financial Oversight

  • Develop and manage facilities operating and capital budgets.
  • Monitor expenses and identify cost‑saving opportunities.
  • Negotiate service contracts and vendor agreements.
  • Ensure proper procurement and inventory management.

Vendor & Risk Management

  • Build and maintain strong vendor and contractor relationships.
  • Ensure compliance with insurance, licensing, and safety requirements.
  • Oversee risk management for property systems and infrastructure.

Qualifications

  • Bachelor’s degree in Facilities Management, Engineering, Construction Management, or related field preferred.
  • 7+ years of progressive facilities leadership experience, including direct oversight of teams and portfolios.
  • Extensive hands‑on technical experience in building systems (HVAC, electrical, plumbing, fire/life safety).
  • Demonstrated success in managing budgets and capital improvement projects.
  • Exceptional leadership, communication, and organizational skills.
  • Proficiency with facilities management software and CMMS platforms.
  • Relevant certifications (CFM, FMP, PMP, CAMT, OSHA, EPA, etc.) are a plus.

Work Environment

This position requires regular site visits across the property portfolio. Hours are generally 8:30 am – 5 pm, Monday–Friday. Occasional weekend or after‑hours availability is required for student housing turnovers, major projects, inclement weather response, or emergencies.

Maintenance Supervisor

(From $72,000 a year plus exceptional bonus plans)

Woodard Properties, a locally owned property management and development company in Charlottesville, is seeking an experienced Maintenance Supervisor to join our Facilities Team!

The person in this role will lead a team of 6+ technicians in providing general maintenance and HVAC services for our residential and commercial properties located throughout the Charlottesville community.

Summary of Job Responsibilities:

  • Field & Office Work: The Maintenance Supervisor will work in the office as well as in the field to schedule or assume responsibility for field work as needed to ensure all jobs are completed in a timely and quality manner
  • Scheduling: Assign and schedule all work and service requests, preventative maintenance, repairs, and inspections of building mechanical systems with team members and contractors
  • On-Call: Oversee the after-hours emergency on-call schedule and provide back-up and assistance as needed
  • Inclement Weather: Assist in the planning and preparedness for inclement weather and participate in snow/ice removal
  • Purchases: Review and approve all purchases and purchase orders
  • Budget: Review weekly expense accounts and prepare annual budget reports
  • Timecards: Review and approve the team’s PTO requests and daily timecards
  • Tracking: The Maintenance Supervisor will be results-driven and will ensure that service issues and all other work is successfully completed
  • Fleet & Equipment Management: Responsible for the maintenance and upkeep of the team’s fleet, equipment, and tools
  • Communication: Effectively & professionally communicate through verbal and written means any relevant information for team members, supervisors, customers, vendors, neighbors, or community members
  • Team Success: Continually foster team cohesiveness and overall team success
  • Professionalism: Ensure all team members are professional in all aspects of their work
  • Lead by Example: The Maintenance Supervisor will uphold the company’s and team’s mission statements and will lead by example and model the behavior they want to see in their team members

Summary of Job Requirements:

  • Leadership: 3+ years in a maintenance supervisor or similar leadership role
  • Property Management: 7+ years in the property management industry
  • Track Record: Verifiable history of providing outstanding customer service, demonstrating professionalism in all areas, and being an excellent & effective leader
  • Skillset: Highly experienced in all aspects of general property maintenance, including appliance troubleshooting and repair, plumbing, electrical, some carpentry, & HVAC diagnostic & repairs experience
  • Certifications: CFC Certification (Type II or Universal) & OSHA 10
  • Computer: Experience with property management software and proficiency in Microsoft Outlook, Word, and Excel Spreadsheets
  • Training: Possess the skillset, desire, and experience to train and advance maintenance technicians
  • Organized: Highly organized, especially while managing heavy workloads under tight time constraints 
  • Team Player: Willingness to assist in other aspects of property management from time to time, such as assisting the Projects and Building & Grounds Teams
  • Communication: Have a consistent and proven track record of demonstrating professional verbal and written communication in all encounters
  • Ability to lift 50+ pounds, work off ladders, in tight spaces, and on roofs

Maintenance Technician

($24 – $28 an hour plus exceptional bonus plans)

Woodard Properties, a locally owned property management and development company in Charlottesville, is seeking an experienced General Maintenance Technician to join our Maintenance Team!

The person in this role will generally work 8:30 am – 5 pm, Monday – Friday, performing general maintenance and HVAC services for our residential and commercial properties located throughout the Charlottesville community. This person will also assist with inclement-weather preparedness and will be on call (about 6 weeks per year) to respond to after-hours emergency maintenance issues. Eligible candidates will have a proven track record of a professional, positive work ethic.

The ideal candidate will also have the following:

  • 5+ years in the multifamily property management industry
  • 2+ years of HVAC diagnostic experience and appliance troubleshooting & repair
  • CFC Certification (Type II or Universal)
  • General knowledge and experience with plumbing, electrical, and some carpentry
  • Ability to lift 50+ pounds, work off ladders, in tight spaces, and on roofs
  • Ability and willingness to teach other employees
  • Willingness to assist in other aspects of property management from time to time, such as grounds work, projects, painting, trash removal, etc.
  • Availability to periodically be on-call & assist with snow removal
  • A valid driver’s license and acceptable background check

Building & Grounds Technician

($18 – $22 per hour plus exceptional bonus plans)

Work hours are generally 8:30 am – 5 pm, Monday – Friday.

Summary of Job Responsibilities & Requirements:

  • Grounds: Mowing, weed eating, trimming, edging, weeding & maintaining plant beds, leaf removal, removing loose debris & trash, hauling large items, seeding, and plantings as needed
  • Inclement Weather: Assisting with inclement weather preparedness and snow/ice removal
  • Other: Assisting in other aspects of building and grounds work, such as gutter cleaning, moving of furniture, painting, apartment turns, and supporting other teams as needed
  • Experience: 2+ years in similar or relevant work and a proven track record of providing outstanding building and grounds maintenance services 
  • Independent: Ability to follow a set cleaning and grounds work schedule while providing quality and timely work
  • Flexible: Ok with being pulled off schedule to address any last-minute pop-up needs
  • Team Player: An eagerness to support and assist others
  • Work Conditions: Ability to lift 45+ pounds, work off ladders, and work outdoors year-round
  • Driver’s License: A valid driver’s license and acceptable background check (No DUI or reckless convictions within the past 3 years)
